Reports To: Food and Beverage Director

General Job Description:
The Event Coordinator assist with administrating and coordinating all phases of the food and beverage catering operation, to include both golf and non-golf events.

Job Responsibilities:
The Event Coordinator is responsible for the following aspects of Food and Beverage events:
  • To plan and assist selling special events: meet with prospective clients; provide a contract to the client detailing the specific needs and expectations of their group; communicate to the Executive Chef all menu plans and changes; coordinate with golf event coordinators for golf events; insure customer satisfaction by being present at special events; market and solicit new business.
  • To lead and supervise special events: schedule and supervise banquet staff to meet the needs of the client; hold self to the highest standards by being honest with the company, customers, and fellow employees; present a clean, neat and professional appearance of self, equipment and property.
  • To organize special events: ensure room arrangement for all special events meets client's needs and expectations; coordinate food service with the Executive Chef; order linen, flowers, chairs and any additional materials needed for special events; inventory serviceware to ensure proper amounts of supplies are on hand for special events; maintain storage facilities in a neat and orderly manner; update monthly calendar of upcoming events.
  • To administer controls for special events: ensure that all set policies are followed to include obtaining a written, signed contract, deposits when necessary; properly ring event billing information into the P.O.S. system and complete gratuity worksheet; ensuring accuracy.
  • Assist with and capacity of the F&B Operation

Job Experience and Qualifications:
The successful individual hired for this position will meet the following job experience and qualifications:
  • Must be able to work long (often late) hours, which include evenings and weekends.
  • Must be in reasonably good health.
  • Must be able to lift 25 pounds.
  • Must be able to work under pressure and changing criteria.
  • Must have good organization skills.
  • Must be computer literate. Knowledge of Word and Excel required.
  • Must be able to type 50 words per minute.
  • Must have excellent interpersonal skills, working equally well with customers, fellow employees and management.
  • Must have knowledge of event planning and supervision.
